Access Mail is the largest First Class Mail Presort Bureau in Pinellas, Hillsborough, Manatee and Sarasota counties. We pick up and process over 125,000 letters daily, according to USPS required standards for postal discounts. This is accomplished using several Multi-Line Optical Character Readers (MLOCR). When an MLOCR detects a match for an address, it prints the Intelligent Mail® Barcode (IMB) for that address on the letter – at a rate of 10 addresses per second.
This is the same equipment and processes used by the USPS in their sorting facilities.
Each MLOCR must match every outgoing address – not just to a building, but must also code for the actual suite/apartment within the building. If an address in “unreadable,” the machine will not guess, nor will it barcode a letter if the provided address is inaccurate.
Once the mail is sorted according to USPS requirements, it is trayed and labeled by zip code, then placed on pallets, loaded on trucks and transported to the USPS entry unit – the same day* Access Mail receives it.
This processed mail now meets not only the current USPS standards, but the upcoming USPS requirements of Move Update and IMB as well. We have already upgraded or added the equipment, software and conducted specialized training of our personnel to assure these standards are met or exceeded on behalf of our clients.

Access Mail clients can count on these additional provisions:
Route Vehicles and Drivers
- Access Mail maintains a minimum of two vehicles over the number required to operate our daily mail pick-up routes. We maintain other Access Mail-owned vehicles that can be dispatched for mail transport, if needed. Drivers are supervised by a full-time transportation manager, who is also responsible for vehicle maintenance.
- Our driver staff includes extra trained drivers, capable of servicing any route or customer.
- Driver insurance is provided by Access Mail and all drivers are required to maintain a clear driving record as a condition of employment.
Damage or Loss
- Access Mail maintains continuous insurance on all mail pieces in our possession. From the time of pick up until the mail is entered at the USPS, the coverage includes not only the cost to reconstruct any lost or damaged mail, but also the actual postage involved.
Business Interruption Insurance
- In cases of more catastrophic problems with our facility, Access Mail also maintains insurance that enables us to quickly recover our capability to pick up and process your mail.
Off-Site Mail Processing
- If a disaster strikes, Access Mail has reciprocal agreements with presort bureaus in other Florida markets and in the southeast region to allow mail processing to continue outside of this area. These relationships were established following Hurricane Andrew and the devastation that followed it.
* Access Mail also offers a program for next-day mail. This mail is processed and entered at the USPS the next business day after it has been picked up.
